We are seeking a skilled, experienced, and competent Radiology Administrative Assistant to join our Radiology team. The incumbent must be highly attentive to detail, well organized, and passionate about serving and working with patients of diverse backgrounds to provide the utmost care. The suitable candidate will be responsible for supporting the efficient administrative operations of the Radiology Department while ensuring a high standard of patient service.

VAC. 20/2026 RADIOLOGY ADMINISTRATIVE ASSISTANT

Reporting to the Manager – Radiology, your primary responsibilities are to:

  • Manage the Radiology front desk operations, including greeting patients, booking appointments, and handling enquiries.
  • Coordinate scheduling of patients for routine and specialised imaging procedures with physicians and radiologists
  • Accurately enter and maintain patient details and hospital ID in the system.
  • Provide patients with clear instructions and reassurance regarding imaging procedures.
  • Ensure all required documentation, insurance authorisations, and medical justifications are completed.
  • Verify correct coding for billing and invoicing purposes and assist with claims processing (private and Medicare)
  • Monitor outstanding payments and escalate to the Team Leader when necessary.
  • Coordinate inpatient procedure schedules with Medical Imaging Technologists (MITs) and Radiologists
  • Provide clerical and administrative support, including report handling, filing, and documentation management.
  • Maintain inventory and coordinate ordering of departmental supplies.
  • Ensure confidentiality and proper management of patient records.
  • Communicate effectively with internal departments and notify patients of any appointment changes or cancellations.

The successful applicant preferably should have the following:

  • Completion of a Diploma in Hospitality Management, Business Management Studies, or a related field
  • Minimum of 3–5 years’ experience in a similar role
  • Knowledge of radiology procedures and medical terminology
  • Experience in handling billing, invoicing, and insurance claims
  • Strong IT skills, including MS Office Suite and healthcare systems.
  • Excellent communication and interpersonal skills
  • Ability to work independently.
  • Personal qualities such as compassion, resourcefulness, motivation, and resilience
  • Ability to work within a multidisciplinary team of healthcare professionals.
  • Strong organisational skills and attention to detail
  • Customer-oriented with a focus on patient care
